Our overall experience with Celoxis has been on the positive side. The tool has helped us keep all our projects on track and collaborate within the team. The price and value is exceptional, especially for a small team like us. We don't use much of the resource management or other features of the tool, just keeping our projects on a strict timeline and tracking efforts towards various activities.

Cons

The interface is a bit heavy for a small team like us. I wish I could easily turn off a lot of features that I currently don't use. Yes, there is a way I can turn off costing and billing and other portfolio features, but even after that, I still feel the app needs to have a more light-weighted look and feel.

It is very good, from my [SENSITIVE CONTENT HIDDEN] perspective and PMO, it is fantastic to have the whole information of our projects online and with consolidated resources reports and the Gantt is very nice, much better than Microsoft Project.

Pros

Easy of use of the Gantt and Work Load, even if some other things are not really UX friendly or intuitive...

Cons

Sometimes is not clear how to perform some tasks, Customer service is very straight and I feel they do not listen to the customer needs on specific issues, then they reply very plain.

Pros

Reporting is great. It is well designed for standard PMBOK framework project management. The custom field feature is great and makes the tool more flexible. The Zapier integration is good and makes it easier to integrate with other application.

Cons

Look and design. Not a modern application. No mobile app. Not many notification options. Not good for collaboration with external customers.

A great full-featured project management tool

Pros

Celoxis checks all the boxes for engineering project management for me. Prior to Celoxis, we used Microsoft Project: Celoxis incorporates the advanced features of Project in cloud-based tool that provides team collaboration and scheduling that we could not get with Project or most other cloud-based scheduling tools.

Cons

With great options can come a great (big) learning curve: there are so many features in Celoxis, setting up individuals, teams, groups, and roles is critical for a successful launch, and this can be a bit daunting at first glance. However, the Celoxis team did a great job pre-sales of walking us through the tool and it's features, as well as scheduling training for our team post-sales to get up and running in the tool.

Reasons for Choosing Celoxis

Our prior tool did not understand resource management and loading, and had no plans to add those features. It also did not support advanced predecessor conditions (T+/- the start or finish of other tasks, etc.) This caused us to use Microsoft Project to get an accurate schedule, then manually enter the project (or project updates) in the cloud-based tool, for collaboration and tracking. This was just too cumbersome.

Reasons for Switching to Celoxis

While some of the alternative products may have been on par with Celoxis in both price point and feature set, Celoxis that their team presented the best solution and on-boarding experience, and we felt Celoxis would be our fastest way to get up-and-running with the project management capability we needed.

the Open a Ticket feature:
- always respond really quickly
- sometimes even implementing recommendations when asking in an open ticket

Cons

the implementation. the matching between workspaces + job roles + permissions is not easy. even though the workspaces are really interesting and usefull, it is kind of difficult to get the right configuration.

It has added a high level of value from project team communication, reduce time for document and information access. One place for Every team member to speak from.

Pros

You can manage projects, tasks, resources, risks, issues and collaboration from one solution with client who don't need to have licenses or desktop software installed.
The platform reporting tools with pre built project matrix report is a thumb up for this package.
What I love the most is the project tracking board.

Cons

While the web application is mobile responsive , a mobile app is desired.

We have been using Celoxis for the last 5 months. Celoxis has helped us a lot in managing any task and collaborations with team members of our company. With its drag-and-drop button feature, we can easily integrate it with another features. We can view different tasks with the Gantt feature and manage tasks with the calendar view.

Cons

This is good software and we did not face any issues with it. Its customer support team has also cleared all our doubts.

Tracking budgets, time, and delivery progress. Tracking who has what and when it is due.

Cons

My only request for improving the tool at this time is for Celoxis to implement a currency conversion calculation in the tool so that our business can report on USD across all regions, the rest we can live with, or I will submit a support case for consideration.

So far it has been a learning experience and when I encounter issues the HD support has been very supportive and timely with their feedback. I do appreciate their overall response time to the matters raised.

Pros

The robust reporting feature and the ease of use of the general application. I can also have custom reports built and shared with my various clients or emails by schedule

Cons

I would like to be able to undo changes in the plan if I make a mistake a remove something that wasn't suppose to be removed example, tasks.
I would also prefer that items closed on a task can be moved automatically to the bottom of the plan or If a filter can be created to just view items on the project plan that are still open.
Some color coding on the plan itself will also be nice
Also some more available options for the client portal so clients can access things like the RAID etc

Cons

Would be good if we could add a custom field to a discussion for sorting purposes and also control the notifications that go to customers.
Suggested both to Celoxis and they have added as a feature request

Very positive. We are just rolling it out now to all our staff, and we're really looking forward to gaining the real benefits.

Pros

Celoxis is a powerful project management software that is replacing MS Project in our organization, allowing us to get a portfolio view of many projects managed by multiple PMs. But best of all, our resources can enter their timesheets within Celoxis. This allows us to eliminate one piece of software and run analytics to learn about our performance and drive improvements.

Cons

It was tricky to setup. We needed the help of Celoxis to get the roles and access permissions setup correctly. The help guide was not comprehensive enough in this area to do it yourself.

Celoxis has made us more Adaptable and Effective as a Business

Pros

In one word – Flexibility. Celoxis has really transformed the way we work as a business. It provides accurate monitoring and tracking of all our projects, giving us a bird’s-eye view of the project health. With Celoxis, we can proactively track our projects and know which ones are at risk or being delayed. We can quickly drilldown to see which tasks are putting the project at risk and quickly take remedial measures.

We would really like to see Celoxis seamlessly integrate with our ERP system.

Pros

Celoxis provides comprehensive information about crucial aspects of our projects. Editing tasks in Celoxis is a breeze. Celoxis also has a simple and clear interface, which makes it easy to use and is remarkably user friendly.

Cons

Celoxis has helped our business to bring the different business processes together into a single platform. It is central to our business and we are managing all billable projects through it. We wouldn't go back to what we had before, so overall our experience has been positive. If Celoxis continues to evolve and add features, it is likely we will remain on the platform for a long time. However, as our business grows we may end up outgrowing Celoxis.

Pros

For our business, we are able to run our end-to-end project lifecycle in Celoxis which we have struggled to find in any other product. This means bringing together quoting for a Professional Services project, progressing that same quote into a live project, having resource management and financial management views on the same project, generating financial forecasts across our projects and resources through reports, and managing other project management aspects such as RAID logs and status reports directly in the Project. Our team manage their holidays and timesheet recording in Celoxis which drives our actuals and invoicing. So it covers the project lifecycle well.

Cons

We've encountered some shortfalls in the details of the features. The resource scheduling which drives the financial forecasting is the shortfall that causes us the most rework or workarounds. The system does incorporate resource availability (available hours=working hours minus holidays/other absences) into the planning and timesheet recording, and it does warn you about resource scheduling conflicts across projects. The issue is that the resource management and financial forecasting being driven from the plan does not take into account actuals to show remaining effort and lost revenue. This requires some workarounds to achieve. The project baselining functionality is also really limited. There is no ability to undo actions on a plan. The audit log is helpful, but would be more helpful if you can actually step back through the changes made because the updates to plan always takes a few iterations.The fact that the product doesn't support multi-currency is really frustrating, although we've settled with our workarounds.

We shifted from MS Project to Celoxis and couldn't be happier. It's a very good and easy to use tool and there are many features that provide benefits internally and for our clients. The Support team is very helpful and responds fast to questions/concerns. My team reported one bug and this was picked up and resolved within 2-4 days.

Pros

Very easy to use and learn.
Access from anywhere as cloud based.
Good options for internal reporting and client sharing (PDF, excel, MS Project file, etc.).
Well thought through and covers most aspects on PM software needed.

Cons

There are some bugs here and there which causes performance issues and lagness.
Additional/advanced PM software features are missing and hope those are added to the pipeline soon.

Mostly positive - I wouldn't want to go back to MS Project. But some annoying cons as desribed above. Critical Path not working really hurts

Pros

I felt Celoxis was quite easy to get started with - it certainly is simpler than other products such as MS Project which is a huge benefit to me since I personally found MS Project too complicated and I never used most of the functions. I can't think of anything I needed which MS Project could do that Celoxis cannot

Cons

By far the biggest issue is that the Critical Path feature doesn't work properly. We've managed to get it working on a small number of occasions and then a simple change broke it. Using the Help Desk has not resolved this so we guess it just simply doesn't work well - never had any issues in MS Project. The Autosave feature and the 4-6s latency behind it meant it was unusable (every single change would cause it to be inoked). Turning it off solved the problem but then you are at risk of losing changes if you don't remember to save or your browser crashes (as happened to be once). Also, it seems almost impossible to reliably have 2 people make changes to the project at the same time without the risk of massive issues.

Pros

There is a lot on offer for the management software.

Cons

It seems really confusing with all the different elements. I would appreciate a different view of the tasks as the tab near the top took me a while to realize that I could scroll to the side and see other tabs. It also seems that the only way to get answers would be to contact customer service, they have been great but that takes up unnecessary time. Making changes to a task would mean that the task would load for a few seconds afterward. If you have multiple tasks to change, this tasks a lot of time. :)

Celoxis helped us to quickly onboard about 120+ strategic projects under a transformation portfolio. Probably one of the most flexible and configurable PPM tool with low complexity of adaption. We virtually learnt the tool during the trial period and able to quickly configured to align to our processes. The Apps feature let us define our own modules/apps and APIs were useful to import existing data form inhouse tool. The support is the icing on cake for Celoxis. I never had to wait more than minutes to get my queries and issues resolved.

Import export through CSV for Apps and Gantt
Easy top build reports, dashboards and views
Workflow engine is simple yet powerful
APIs helped us to built some traditional reporting for Execs who may not access Celoxis directly

1. Missing bulk delete for App items.. e.g. We were experimenting with a burndown chart and uploaded some data that was incorrect, when trying to delete those records we had to delete them one by one as bulk delete was not available, this feature should be available for Admins at least.
2. Program Project hierarchy is not available however we could use the workspace as program

Limit on Virtual Users and Client Assignment to Tasks

Pros

Contains almost all basic and some advanced features a Project Management Tool needs to have.

Cons

The biggest 2 drawbacks are
1. Tasks in a project cannot be assigned to clients. To achieve this very standard and normal requirement, clients are needed to be created as users as well.
2. Limiting the number of virtual users to a certain number. Typical Project Management Tools are primarily driven by Project/Program Managers. Project Schedules are updated by them and normally the human resources on the project are not authorized to update the task status and %age of completion to ensure completeness and accuracy of the project schedule. Multiple resources updating the project schedule means we are planning for failure. So, typical licensed users would be PMs while the entire project team resources would be virtual users. In the system, effectively they are just another field in a task record of the system just like maybe the Start Date, Finish Date, Task Name, Task ID, Predecessor, Duration, etc. etc.
