Neos is a case manager's best friend. The initial change from a server based program to a cloud based program was challenging. Learning new things is good, but can also be frustrating. Once I learned how to use Neos and how it integrated with our other apps, I would never go back to any other option.

Pros

Everything you can think of that is necessary for legal case management, is contained within Neos. Moreoever, Neos is committed to keeping the platform updated, so they are constantly adding and upgrading.

Cons

Neos can seem pricey to begin with, but well worth the investment. It will likely pay for itself in your ability to take on and manage more cases.

Pros

Neos has an extremely intuitive design that allows for dashboard customization to enhance the efficiency and effectiveness of an organization. I was pleasantly surprised to see just how deep the customization could go.

Cons

The learning curve was a bit steeper than I expected.

It has been a great transition from Needles to Neos. Although there are some minor things I miss, this is a much better product, and will help our firm manage our cases more successfully.

Pros

I like that it syncs with my Outlook calendar and that I can access it from everywhere. It's also very intuitive to use.

Cons

I don't like that it doesn't make any sounds to tell you that you have a new message. I don't like the little notification bell at the top.

It is very beneficial. There are very few cons to the program. I would love to use it in any office setting because of how connected it keeps us.

Pros

How it makes it easy to work as a team. I love that it saves our information for the next person to see. It also saves all the information we need.

Cons

How it signs me out every 3 days and I loose everyone I had pulled up. Sometimes you have to copy your notes after every update and repost them because they refuse to save.

Using Neos makes my work extremely manageable. It is easy to navigate and do the things that make me successful in my job. Neos helps me stay organized and up-to-date with my clients—I could not imagine working without it. I use Neos every single day. Customer support is always helpful in solving any issues that arise. Neos can also be integrated into other applications, such as email.

Pros

The convenience and organization it provides when dealing with hundreds of different clients.

Cons

There is nothing that I don't like about using Neos.

The calendar: adding a calendar from case event, does not allow you to see the clients name on the regular calendar. It makes me feel this is double the work

Everyone in the office has access to it. There are many features such as case notes, insurance information, document uploads, etc.

Cons

I do not like the notes part, I wish it just had a save button to make sure they are saved.

Pros

The intuitiveness of the system - it can almost predict what you want it to do and do it. As long as the case information is put correctly into the system then the system can pull information to put letters and documents together. my favorite part is the texting ability. It is easy. Most people will look at their phone first thing in the morning. Emails do not get as much attention as texting.

because it is cloud based - the internet needs to be steady. sometimes it gets a little wonky

A Very Expensive Microsoft 365 License w/ Very Little Additional Functionality

Implementation was not great, and I was not migrating ANY data. I still do not believe I have everything I was supposed to get. I paid $1,000.00 to do the work during my onboarding that could have been done prior to my implementation. Because Neos requires 365, during onboarding you will get to make all your Microsoft 365 and Neos connections. I assume I paid $1,000 for someone to tell me how to make the connections and 3 hours of training? Not sure. I also was not told about a bug that Neos had which prevented data from being updated and saved more than once during my implementation. I did my implementation on a Friday, and attempted to input my cases into the system on the following Saturday and could not get anything to save. I was told the following Monday about the issue, was told it was a known issue, and would be resolved in a day or so. I spent all day Saturday trying to figure out what I was doing wrong for nothing. It was ultimately fixed. But just a frustrating experience. Everyone has been genuinely nice and understanding, the limitations of the software is where my issues really are.

Pros

Neos is customizable, which is nice. You can add whatever field you want to add to any tab. It allows you to collect and input whatever data you want and you are not nearly as constrained as you are with Trial Works in terms of customization. It has a nice display. Grouping contacts is easy. Apparently, there are a bunch of reports you can use.

Cons

Functionality is not there. Commonsense things are missing from this platform. The system relies on and appears to be limited by Microsoft 365, which itself can be spotty. Neos is just Microsoft 365 apps all tied together, under a sleek looking display, but adds almost nothing to the 365-experience. 90% of the Neos platform is bundling all-things 365 together through a sleek looking display. The other 10% that you would expect Neos to have incorporated and built-in is missing.

Templates have to be saved and then generated to be tested. You have to constantly change in and out of various tabs when creating a template to get your bookmarks. Good luck finding bookmarks for pronouns. I was told by Neos I should consider writing gender neutral. Ultimately, found out that I could code an if than statement in Needles should I want to use pronouns. Each bookmark in Neos will eat up a line or two of your template, which makes for errors.

You can calendar within Neos, but you can't invite clients or "providers" or anyone outside your firm within Neos' calendaring feature, so it's an useless feature and users will need to rely Outlook.

If you generate an email within Neos, by clicking an email link within a case, it is not saved unless you tag it in Neos. If you email a document from a case in Neos it does not prompt you with the various case contacts associated with your case so you must click through various tabs in your case file to get the email address(es) you need.

Reasons for Switching to Neos

I opened a law firm. The firm I came from used Trial Works, which is a clunkier, more expensive, but as I have come to find, a way better case management platform than Neos. I was an Admin at my previous firm and KNOW Trial Works. However, in making my decision of software, I was being cheap and was sold on, “Neos is the best of Needles and Trial Works put into a single platform.” It is EMPHATICALLY not. I was told that if Neos makes template creation so much easier than Trial Works, it does not. I went with Neos and should have either paid the money for Trial Works or looked elsewhere. Ultimately, if Trial Works is a 5-star case management system, Neos is a 2-star system.

Fair to lousy. They have been telling us for over a year that they would fix the calendar function. They made us switch to Microsoft Outlook. Neos does not properly integrate with Outlook. Links are constatnly broken. Searches are extemey slow.

With Needles Neos being cloud based, and the world still experiencing the Pandemic, I appreciate the fact that I can access ALL my case documents from anywhere in the world. This feature has made working from home seamless.

Pros

The feature I like most is the Checklist which keeps me on track with my cases.

Cons

I think the thing I like least is that I have to ask the administrator to add things and that I am not able to do it myself.

The greatest problem Neos accomplished is the ability to fully use the software from anywhere. My employees and work from the office or their homes seamlessly. Features such as document management and Outlook integration has revolutionized efficiency in our law office. If we ever have an issue, the support team is very quick and helpful to resolve any issues that may come up. As an owner of the firm, I love being able to use my Dashboards to quickly measure the health of the firm.

Pros

Managing every aspect of my cases efficiently from anywhere. I love being able to track my Intakes and communicate with potential new client easily. I love being able to standardize the way all cases are handled in my office. Document management is extremely powerful. Full integration with Microsoft Outlook is awesome. I love the reporting features and dashboards that allows me measure KPIs efficiently. Our transition to Neos was quick and easy with great support from the Neos team

Cons

Neos always is offering new features almost monthly. I commonly interact with the suggestion portal (Ideas & Enhancements) where user experiences and wishes are actively addressed and implemented.
