A great transition from manual to digital

Overall, we've used Jotform quite regularly now and we haven't had any complaints yet. Of course we've tweaked the forms in order to make the experience smoother for our team. It is quite easy to learn, and we've even added in some computations in the forms, and it's been really helpful.

It does take a while to figure out the approval feature, but once you've overcome that hurdle, it gets easier.

I particularly like the fact that we can customize it just enough so it doesn't look like Google Forms or Microsoft Forms.

Pros

We use Jotform for leave applications and petty cash requests in our small team. Before Jotform, we would typically do it manually and though it is seemingly mundane, does contribute to some inefficiencies specifically for me an my partner who approve these requests. Jotform helped streamline all those.

I like the feature that allows people to sign in the digital forms. This allowed us to completely remove some of the basic forms we have in our office and just transition to digital. It then gives us a PDF report after.

Cons

The free version is quite generous, allowing you to use the useful features of the app. I do find the pricing a bit expensive. It start from free and then suddenly jumps to 34 USD.

Alternatives Considered

Typeform

Reasons for Choosing Jotform

Jotform had the ability to sign forms. It also had more field features like computations, and also had the feature of exporting the form as a customized PDF report. We still use Microsoft Forms internally for some functions like our HR Tests.

Google Forms and Microsoft Forms

Reasons for Switching to Jotform

Jotform's free tier is quite generous and had the ability to capture signatures. Both two may have a much cheaper option, but since we aren't a heavy user of forms, we opted for the best free tier.

Jot Form serves as a versatile solution for us, allowing us to create an employee enrollment form, as well as gather various data surveys. We've had a wonderful experience using Jot Form for these purposes.

Pros

A user-friendly and appealing resolution that offers digital form and signature capabilities as well as efficient data collection features. The software also boasts seamless integration with third-party tools, multi-level approval workflows, and integrated payment options, all of which contribute to a more streamlined paperless environment.

Cons

While the software's features are impressive, there are some limitations to consider. For example, tabular input questions are not dynamic and may require additional manual input. Additionally, incorporating an image field could enhance user-friendliness. Another factor to weigh is the relatively high cost of the software's license compared to other available solutions.

Making basic, straightforward forms is a priority

To guarantee that the customer data used internally is up-to-date and accurate, our marketing department uses JotForm to collect data from customers and prospects to add to our database. JotForm has allowed us to significantly increase our capabilities. JotForm is also used to make one-off forms for unique endeavors. We can modify the content of the forms or send out automated emails depending on the users' whereabouts.

Pros

It's incredible that you can sign up for free and begin making forms in a matter of minutes. The flexibility to use various widgets for bespoke data entry is fantastic. It has a fantastic logic editor that allows you to fine-tune the presentation of questions, text boxes, and other elements. Its ability to work with other programs and import data is remarkable. The submission data may be readily manipulated and analyzed thanks to JotForm's powerful export and reporting tools.

Cons

Currently, you have to manually enter each email template into each form, so that's the only thing I'd change about JotForm if I could change one thing.

We are huge fans of Jotform!

Pros

We use Jotform to collect Christmas wish list from youth in our residential treatment foster care program. Our kids (about 100 each year), get to share what they'd like for the holidays and we coordinate with volunteers to shop for the items on their lists. We love the fact that it's customizable, you can add pictures, question logic, etc. We also absolutely LOVE the ability to connect to other apps to integrate into our project management software. It's a really superior tool and resource!

Jotform allows me to easily collect all of the information I need from my leads, Once I have collected a lead's information, I use Jotform to send them an automated email sequence. This helps me to nurture my leads and move them closer to becoming paying customers. I think Jotform is the best form builder in the market. Easy surveys tool perfect for small campaigns

Reviewed on 30/10/2023

Pros

When I need to make surveys, I typically have clients who know roughly what they want but I never have a detailed brief. I love that jotform kind of has all the ideas I need and layouts in one place, so I can drag-and-drop and build it sort of from scratch, I often pick up new ideas from what they've provided in their template library as well. The clients think I'm smarter than I am!!

As you'd expect you can change the type of survey with sliders and scales and multiple choice, there is a lot that can be done. You can also analyse this on the other side, the reports are pretty as well, in some cases I have screengrabbed and added directly to an internal report (saves me time making them!)

I don't know much about data collection or the forms side in massive depth, but even from the small amount I use it I think it is a very valuable tool.

Cons

I haven't had any cause for complaint at all, I believe the package I am on is 100 free responses but the businesses I need find this is plenty for employee or small customer data set surveys. This might need examining if you want a huge campaign.

Too many bugs & quirks, too little support

Reviewed on 25/08/2022

I've had 2 experiences with trying to build a form to accomplish an important task, and it's failed...

I've had 2 experiences with trying to build a form to accomplish an important task, and it's failed both times. The tools don't work properly, there's no support, and when the issue is on their end, you're just out of luck. There's no fix time, ever. Don't use this for anything where you can't work around this service's repeated failures.

Pros

It appears, on the surface, to offer a ton of really nice form elements & features. You can make the forms do a lot of seemingly cool stuff that's difficult, if not impossible in some other form builders (until you actually deploy them & discover their true, undisclosed limitations/quirks).

Cons

There are constant bugs, quirks, and downtime, with ZERO live support regardless of subscriptions level. My biggest issue is with prefilling forms for customers. Important fields like the product list can't be prefilled so all the customer has to do is review & sign. Of course, it doesn't tell you this until you go to actually prefill a form. Now I'm left with a situation where I have to have a different, less-capable form if I want to prefill contracts for customers using existing info. What a waste. Better yet, there's no support. If you have a question or issue, you get to wait for an email response. Of course, they only deal with part of what you've asked, so you then have to send another email, then wait another unknowable period of time for the next person to deal with half of the problem, then requiring another email, another wait.... and so forth. Of course, if it's an underlying issue with their software (like the improperly functioning dropdown quantity selector), they say they'll send it to the developer team, and who knows when/if the problem will get addressed at that point. They literally tell you that they can't tell you. Not acceptable for commercial deployment, imo.

Alternatives Considered

123FormBuilder and Cognito Forms

Reasons for Choosing Jotform

Jotform seemed to offer form capabilities not found in other services (but doesn't, in practice).

Reasons for Switching to Jotform

It seemed to offer increased functionality with fields like the configurable list & item list. In practice, however, these fields turn out to be worthless due to quirks like not being able to prefill them & having them act like they're required during prefill, even when they're not set as required.

Response from Jotform

Hello Karl,

Form Builder that keeps getting Better

I create all the forms and share them with several faculty and staff here at the College. The software very intuitive, so there's little training needed for others to work with it. The notifications are highly customizable, so for each form I can control who sees the submission, the workflow and the response to the submitter. I've watched the company grow, offering more support and more features, while still keeping the cost for the end user reasonable!

Pros

When Adobe stop offering their online form option, I needed a replacement! I researched a variety of options and went with JotForm. The top features are the ease of use (great interface even for beginners), available templates and the ability to export the form in a variety of formats - embed in a website, fillable PDF, email, etc. Another valuable feature is the management of submissions. Simple to use, easy to manipulate or expert.

Cons

At first, there were some accessibility issues. The developers are currently addressing those issues; they just offered a webinar on how to incorporate ADA compliance. Most of the minor problems when I first started using JotForm have been addressed or improved.

Powerful, professional tools for your small business, with no hit to your bottom line

Reviewed on 03/11/2022

Jotform helped bring my small business venture to life by providing inspiration and needed tools...

Jotform helped bring my small business venture to life by providing inspiration and needed tools without a grand investment that I simply wan't ready to make. It has helped me learn new ways to add accessibility and interactivity to user interfaces across platforms by making these options easy to use and understand in their form editor.

Pros

Jotform has such an impressive array of elements to drag and drop into your form it is a near certainty that you will be inspired by it all. File uploaders, music streaming, video players, sketchpads, even interactive dice to roll, it's all there! Most of these options include a field for CCSS customization, as well, helping with brand fidelity or jsut making it yours. Beyond the aesthetics are plenty of security options such as email verification, phone number verification, ReCaptchas of all kinds (think visual, audio, and even drawing!), data capture, field masks, and more. Payment portals can be set up directly in the form and linked to their easily customized store inventory widget or to whatever dynamic data stream you create with their form calculation and dependent action tools. Small businesses can streamline this crucial piece of their online presence and do it with personality and professionalism, all with no out of pocket expense.

Cons

Data calculation and dependent actions are all possible in Jotform. However, the process is facilitated through the strategic placement and coding of form calculation fields that need to be hidden from user view and generally clutter the worksapce for editing. While there are many hints and reminders built into the steps to add these actions, I am fairly certain anyone that is not comfortable with setting up spreadsheet automations might feel overwhlemed or confused by the process. Since these are not needed by all users, it is certainly not a dealbreaker. Additionally, the majority of Jotform's "flashy" options are in the form of "widgets" that appear to be affiliate-created or sponsored for the most part, such as the Vimeo video player or Facebook Messenger button. Because of this, it is hot or miss what type of data you will render from them or how to do so. For widgets built simply for looks, like the graphic headers or page dividers, this is obviously not an issue. But for others you can end up with data that is nearly impossible to use dynamically. Take the "fancy range slider" for example. Users slide the ends to create a range within a set provided by the form creator. The data that this produces is read as the beginning number of the range and the ending number of the range strung together (ex: starting page=2, ending page=10, resulting data= 210), making it only of value by manual analysis.

Pleasantly surprised by its functionality, we use Jotform for much more than we originally planned: surveys, application forms, online calculators, and more. I wouldn't go back to our previous solutions if you paid me to.

Pros

Jotform is the first software that consistently does exactly what I want. Every. Single. Time. There's a help topic or community response for everything I've tried to create. It also integrates with our email marketing service, which makes customer communication and follow-ups a breeze.

I'm a sucker for flawlessly executed conditional logic, and Jotform does this extremely well. Essentially, every feature I look for is there, ready to do what I need it to, without any kinks, hiccups or work-arounds. Brilliant!

Cons

There's no drawback I can think of for Jotform. The only thing that took more effort than I would have liked was verification for sending automatic emails from our domain, but this is only because our organization has tighter security than most.

Paperform

Reasons for Choosing Jotform

Prior to Jotform we had several services that did a portion of the job and not as well as Jotform: SurveyMonkey is relatively expensive for its functionality and often prompts users to take another (unrelated) survey after submitting their original survey. This confused our customers, particularly during election cycles when political surveys were recommended upon submission. Sitefinity has a built-in form builder that is...okay. I wouldn't recommend using it for anything but the most basic forms. Calconic is limited to calculations and required complicated hidden steps to compete the calculations we needed. It wasn't expensive, but we didn't use online calculators enough to justify the cost.

Switched From

Calconic, Sitefinity and SurveyMonkey

Reasons for Switching to Jotform

Paperform is brilliant, but based outside the US. Our organization needed customer data to be stored within our country (USA) and Paperfom couldn't guarantee that it would be. In hindsight, I'm happy Paperform had this limitation because I'm so thrilled with Jotform's functionality.

Very good! It has allowed us to facilitate processes such as the receipt of payments, inspections in apartments with real-time alerts and carry out mini projects, helping especially in the collection of information in a quick and easy way.

Pros

The options it gives when it comes to creating forms for different areas. Mainly through the functionalities and the bifurcation of questions. It is also very easy to collect the data obtained through the questionnaire mainly due to the automatically created spreadsheet and the filters that it has. Also the creation of alerts via email based on key answers seems to me a great success and very important, especially for the detection of problems.

Great for our organization

Reviewed on 25/01/2023

Pros

Great for registration forms; lots of customizability, and once you figure out the calculation widget, it's easily reproducible for future forms. I also like the flexibility of knowing we can pay for a year, or we can downgrade and upgrade our plan on a monthly basis based on our usage. I also love that you pay a flat fee; they don't charge a percentage based on registrations or transactions, which helps for budgeting purposes.

Cons

It has glitched unexpectedly in the past, where users cannot submit forms and get error messages (in error). I've also had issues with the autosave function, where the builder will randomly freeze and when I reload, it pulls up an old version. Using Chrome instead of Safari helped with this. The customer service could also be improved - it's frustrating that you can't call and talk to someone (but on the plus side, you can google just about any issue and find several suggestions from Jotform staff).

Great experience overall. The software itself is so user friendly. Drag and drop elements is the way to go.

Pros

All the form elements available make creating forms super customizable. Love the widgets. Automated email confirmations and conditional logic features are huge pluses, too. Google sheets is a favorite integration of ours so we can have form submission answers fed into reports. The help pages and forums are a great resource.

Cons

When looking for a very specific solution, you may have to search the forums a bit, but customized solutions necessarily take a bit more legwork.

Reasons for Choosing Jotform

JotForm: The Essential Tool for Streamlining HR Processes

Overall, JotForm has been a valuable asset to our HR team and we highly recommend it to any company looking for a versatile and reliable form builder.

Pros

As an HR professional, JotForm has been an essential tool for streamlining our hiring and onboarding processes. The ability to create custom application forms and collect candidate information online has saved us countless hours of manual data entry. We've also used JotForm for tracking employee feedback, conducting performance reviews, and managing benefits enrollment - all of which have been incredibly easy to set up and customize to our needs. The platform's security features and compliance with GDPR and CCPA regulations give us peace of mind knowing that sensitive data is being handled securely.

Cons

While JotForm is an excellent platform for creating and managing forms, there are a few drawbacks that HR professionals should be aware of. One of the main issues we've experienced is the limited number of integrations with other HR tools, such as applicant tracking systems or HR management software. This can result in some manual data entry or time spent on workarounds to connect JotForm with our other systems. Another challenge is that while the platform offers a lot of customization options, the design capabilities are somewhat limited compared to other form builders on the market. Lastly, while JotForm is generally user-friendly, there is a bit of a learning curve when it comes to setting up more complex forms or integrations. Overall, while JotForm has been a useful tool for our HR team, these limitations should be taken into consideration when evaluating the platform.

Quick and easy form builder and data collection platform

We use Jotform for collecting internal and external user data in response to fast changing needs (e.g. requesting the health status of those returning from areas that have just come out of Covid lockdowns). The API means we can directly add responses to databases, while Zapier integration allows us to add response to spreadsheets for further analysis.

Pros

Jotform are always releasing new features to meet customer needs. The cost is relatively low compared to other offerings

Cons

The default form controls are somewhat limited, and there is an overall reliance on 'market'/3rd party widgets.

Response from Jotform

Thank you so much for your nice review Adam. To clarify, we have all the basic form controls available in the form builder and we also added a lot of fields with advanced features like Appointment, Signature, Products, Fill in the blank fields and etc. Furthermore, almost all published widgets are developed and maintained by Jotform even those widgets with integrations from 3rd party services like Adobe Sign, DocuSign, and more, and we also allow our users to create their own private widgets too.
If you think there's any form control that we overlooked, let us know at https://www.jotform.com/contact/ and we would be happy to forward it to our developers for future implementation. Thank you!

I have been using this since 2019 at several different organisations and I keep recommending it. It is so simple to use and can be applied to various industries. I used it to digitalised customer journey for hotels, create super simple booking system to a free lance yoga teacher and now using it for invoicing purpose for another small business.

Pros

- Loved the fact that they had the initial free 5 forms (unlimited timeframe) This means I can take my time to set it up and test out in real life to see how it can help my processes. - Love the custom forms and nowadays, it has alot of integration and you can do alot more things- Love the PDF builder. Now I am using this heavily to generate invoice. First I create fields for the invoice input then it automatically populates into PDF format based on my customised settings. Saves so much time!

Cons

- Sometimes the submission loading is laggy. For example, I submit an answer via form then I change the answer in submission sheet (on backend) but it doesnt save this new update. - Also I have the emailing function turn on after each submission or edit. it is not immediate and can take up to 10 minutes

JotForm is the best way to gather information from anyone, for anything.

JotForm makes our team much more efficient. We're able to streamline processes that would normally take our team a lot of time to complete. For example, rather than posting a job application and combing through all the CV's that show up in our inbox, we're able to use JotForm to host the applications and easily view the submissions in one grid. We can also designate which team members should receive certain applications, so that everyone is notified in real time and there's no need to go through and forward messages. It's been so helpful to us, and I can't recommend it enough for automating processes.

Pros

I love how customizable JotForm is. You can get it to do anything you want, with as many custom conditions as you want. We use this for both external-facing forms like job applications, and internal forms like incident reports and expense reports. I love that you can not only receive an email for every completed form, but also easily download a PDF of each one or download a spreadsheet summary of all responses to date. Or better yet, you can have JotForm deposit all of that straight to Google Drive for you. The form features are very robust, and I'm constantly taking advantage of new ones. For example, we have a very long form that users can choose to save before they submit it. I've set it up so that they get an email reminding them to go back and complete the form later. I also use the e-signature feature, the "upload file" feature, and I'm constantly setting up show/hide features. As in, if someone answers "Yes" to question 5, hide questions 6-9. JotForm has added a cool new feature to make their email notifications dynamic, so that only questions that are answered are included in the auto response. It's wonderful!

Cons

I wish JotForm did a better job with compiling survey data. The feature to graph your results is buggy and looks strange. I was able to easily download my survey responses and create my own graphs in Excel, but I don't think JotForm would be my software of choice for another large survey (we've only done one so far). I also wish JotForm offered the option to have a default email formatting style. As it is now, I have to go in manually to each email template on each form and add our logo and other formatting.

I’ve been using JotForm since November 2016 till now. It is really a great solution especially for people who has no coding experience. The ongoing enhancements introduced by JotForm since I started using it made it further useful to the extent that you may not need to use any other product to complete your task.I used it to gather data, ranging from simple to bit complicated surveys, as well as a standalone application that works perfectly to serve my purpose.Due to the nature of my projects, I sometime require to use multi-lingual forms, one of which is Arabic. To be honest, most of available products despite their effectiveness in English or other languages, they do fail when used for Arabic interface, which is a right-to-left language. This does not apply to JotForm, which almost shows the same performance even for Arabic language. Yes, some elements may sometimes do not support translation, however, some other workarounds using other elements do solve the problem, like using text elements, like labels for example, to overcome this minor issue.Generally, I would always recommend using JotForm, which is from my point of view a completely different experience.

Pros

It is a great, easy to use, reliable solution that requires no coding experience or prior knowledge to use. Creating and managing surveys and order forms is extremely easy and fast.

Cons

One of the recent enhancements introduced by JotForm is the signed documents. I believe, this module is not yet matured, as one can face some difficulty to delete unnecessary documents after submission, like testing and sample submissions for example. Yes, you may delete them at the end of the day, but by visiting some other sections of the application. I personally wasn’t able to realized this until I received a response from the support team. This needs to be considered by the team. Also, enabling the translation of some parts of the product will be useful. For example, product specifications for ecommerce elements (item listing).

One of our best discoveries, Jotform helps us streamline data for our events from event inquiries, to details of the event, to the vendors, and guest lists. For our clients, it's easy to use because it only 1 page per question which is not too overwhelming compared to a Google form.

Pros

This is such a powerful tool compared to other form builders I've used in the past because it's a one-stop shop place where our clients can fill out the details of their event, it gets assigned to an available team member, then eventually we can export the data, collect payment, and finalize the details of an event. It is web-based so its easier to navigate

Cons

Their customer support is only available online and the pricing plans are a little bit expensive

Response from Jotform

Hello Janice, Thank you for the positive rating and feedback. We believe our pricing remains an excellent value and continues to be very competitive among our competitors. Overall JotForm has been irreplaceable for our company. So many of our processes have been streamlined and built around JotForm, it's truly saved us countless hours of time each week. Their customer support is very responsive and helpful in resolving any issues with software use.

Pros

We've been using JotForm for years as we've grown our small business to solve problems, collect data, and streamline processes. JotForm has been one of the easiest softwares to use, learn, and implement in our organization. The best part about JotForm is how easy it is to use - with drag and drop options, excellent customer support, and regular updates to improve building the forms. I would also add that it is unbelievably customizable. There are tons of templates to choose from that can be plug and play or drastically modified to fit the needs of the task at hand.

Cons

There is almost nothing but high praise for this software. Most issues I've run into over the years (formatting problems, pdf compatibility, etc.) have all been addressed and improved upon with each update. There are still some issues with designing pdf files and editing layouts of automatic emails but nothing that impedes the functionality or use too much. I'm also confident that these issues will only continue to improve based on JotForm's track record of catering to its customer needs.
